This policy explains what personal data Cloud9 Fulfilment Limited collects through our website, why we collect it, and what rights you have over it. It covers cloud9fulfilment.co.uk. It sits alongside our cookie policy, which explains the cookies we use in more detail.

Who we are

Cloud9 Fulfilment Limited is the controller of the personal data described here. We're a company registered in England (company number 12783581), with our registered office at Unit 3 Kettlebridge Road, Sheffield, England, S9 3AJ.

The data we collect

Information you give us. When you fill in a form, request a quote, email us, or message us through the WhatsApp button, we collect what you choose to send, usually your name, company, email address, phone number, and anything you write in your message.

Information collected automatically. When you visit the site, some data is collected about how you use it. This includes analytics data through Google Analytics, but only if you accept analytics cookies. Like most websites, our hosting also keeps standard server logs (such as IP address, browser type and the time of your visit) to keep the site running and secure. You can read about each cookie in our cookie policy.

Business-visitor information. We use a tool called Lead Forensics, which is explained in its own section below.

How and why we use your data, and our lawful basis

Under UK data protection law we need a lawful basis for using your data. Ours are:

  • To respond to your enquiries and provide quotes or services. Basis: our legitimate interest in running the business and responding to people who contact us, and, where we go on to work together, performance of a contract.
  • To understand how the site is used and improve it. This is our analytics, and it runs on the basis of your consent, which you give through the cookie banner.
  • To identify business visitors to the site. This is Lead Forensics, explained below, and runs on the basis of our legitimate interest.
  • To keep the site secure and working. Basis: our legitimate interest in protecting the site and our business.

The site uses cookies, which are explained in full in our cookie policy. You can change your cookie choices at any time using the Manage cookies link in the footer.

Lead Forensics

We use Lead Forensics, a service that identifies the business or organisation a visitor has come from by looking up their IP address. It tells us things like company name and sector, so our sales team can follow up with businesses that have shown an interest in us. It does not identify you personally. As far as we're aware it does not store a cookie on your device for this, though it may process online identifiers relating to your visit.

We run this on the basis of our legitimate interest in finding and reaching potential business customers. We've weighed this against your rights and believe it's a reasonable use of the information, because it's limited to business-level data and is a normal part of business-to-business activity.

You can object. If you'd prefer we didn't process information about your visit in this way, email us at office@cloud9fulfilment.co.uk and we'll stop. You can read more about the service in Lead Forensics' privacy policy.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the data we hold about you;
  • ask us to correct anything that's wrong;
  • ask us to delete your data, in certain circumstances;
  • ask us to restrict or stop using it, in certain circumstances;
  • object to us using it where our basis is legitimate interest (including Lead Forensics);
  • withdraw your consent for anything you've consented to, such as analytics, at any time.

How long we keep your data

We keep enquiry and contact data for as long as we need it to respond to you and to keep reasonable business records, and then we delete it. Analytics data is kept for the period set in Google Analytics. If you'd like to know how long we'd hold something specific, just ask.

Who we share your data with

We don't sell your data. We share it only with the service providers that help us run the site and the business, and only as far as they need it:

  • Google, for website analytics (if you accept analytics cookies), and for the maps and some of the fonts shown on the site, which your browser loads from Google.
  • Lead Forensics, for the business-visitor identification described above.
  • Webflow, which hosts the website.
  • Other providers who help us operate, such as our email provider, where relevant.

Sending data outside the UK

Some of these providers are based outside the UK, including in the United States, so your data may be transferred there. Where that happens, we rely on the safeguards UK law allows, such as the providers being covered by an approved data-transfer mechanism, so your data keeps a similar level of protection.

Changes to this policy

We may update this policy from time to time. When we do, we'll change the date at the top of the page.

Complaints

If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk, though we'd appreciate the chance to put things right first.
